    Customer Experience Representative

    Job Type: Full-Time

    This position requires a high level of customer service, communication skills, and a positive attitude. The Customer Experience Representative must possess a moderate level of technical knowledge about the auto-collision repair process. The Customer Experience Representative is responsible for delivering best-in-class customer service to all customers. Additionally, also accountable for performing clerical, and administrative duties, including greeting customers, answering phones, scheduling repairs, typing correspondence, and helping teammates as needed.

    Essential Job Duties

    • Work closely with teammates to create a great work environment producing high-performance results
    • Provide best-in-class customer service to all customers
    • Review with customers and walk-through repair process and next steps: Greet customers by phone or in-person; educate customers about the collision repair process (high-level overview), including insurance claims information, processing and payment procedures
    • Complete all facets of vehicle intake process: Ensure all required documents are signed by the customer, assist the customer with a rental, scan documents in R.O., do physical check-in vehicle and tag vehicle, take and upload photos of the vehicle, make sure customer is set up for updates and vehicle is marked in the system and repair order is in vehicle
    • Ensure R.O. file accuracy and SOP, DRP and regulatory (BAR) compliance during repair and prior to vehicle delivery
    • Establish communication expectations with the customer: Provide frequent repair status updates to the customer via call, text or email based on the customer’s preferred method of communication
    • Prepare paperwork for vehicle delivery: notify a customer about completion and ensure that final bill and warranty are enclosed in the packet
    • Perform administrative tasks: Administrative tasks may include collecting incoming payments, updating ARMS, making AR follow-up calls, monitoring and answering emails
    • Schedule customers for repairs and an estimate
    • Assist various insurance adjusters as needed
    • Ensure all insurance payments are going directly to our shop and collect correct amount payments from customers upon delivery
    • Follow up on the payments if not collected within two weeks after delivery
    • Close R.O. when paid in full and file R.O.
    • Write checks to vendors
    • Record and receive parts invoices in the system, label parts and ensure that all parts were received as per paid invoice
    • Prepare and process parts returns
    • Maintain and organize vendor invoices, office supplies, front office, and break room
    • Additional responsibilities as assigned


    • High school diploma or GED
    • Minimum 2 to 4 years of related experience
    • Ability to effectively communicate with others
    • Good verbal and written skills
    • Must understand and speak English
    • Knowledge and ability to work with computers, various software programs, and other technology, including fax, scanners, copy machine and phones
    • Organizations, multi-tasking; adapts easily to fast-paced environment, able to handle high level of stress
    • Ability to receive direction and work well with others
    • Personable, friendly demeanor with “World Class” customer service approach to internal and external customers
    • Maintains a well-groomed, professional appearance

    Physical Requirements / Working Conditions
    Position is based in a climate controlled, professional office environment with moderate noise levels. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.  Specific vision abilities required by this job include close vision requirements due to computer work. Exposure to paint, fumes and particles, dirt, dust, chemicals, toxins, varying heat, cold and intermittent noise. Regularly required to talk or hear. Frequently required to stand; walk; use hands to handle or feel; and reach with hands and arms. The job may require lifting up to 20 lbs and long periods of sitting while working at desk. If the travel is required, must be able to uphold the stress of traveling.

    High volume Auto Body Shop is looking for an experienced collision estimator to be part of our professional team.

    The ideal candidate should be friendly, accommodating, outgoing, and have the ability to develop professional relationships with current and potential customers, as well as the ability to work well with others. Also, the ability to handle multiple situations at one time in a fast pace environment is a plus.

    Responsibilities include, but are not limited, to the following:

    • Provide cheerful and excellent customer service to all current and potential customers
    • Prepare all estimates in an accurate and efficient manner, keeping in mind that the estimate later becomes the blueprint for the repairs
    • Review all final bills and supplemental billings for accuracy, and thoroughly check the final repairs prior to delivery to the customer
    • Educate customers in the collision repair process, including insurance procedures, motorists’ bill of rights, repair techniques, and safety
    • Notifies Insurance companies of additional supplement parts and/or labor needed for repairs and updates the estimate with supplements
    • Periodically update customers and document all customers and insurance interactions for each job
    • Porter vehicles, customers, employees to other locations as directed by management
    • Attend daily release meeting, review the current state of sales and production, and plan daily, weekly and monthly strategies to boost performance
    • Attend training classes as directed by management

    Required experiences:

    • 2 years + in estimating experience
    • Thorough knowledge of DRP policies (Allstate, Liberty Mutual, Mercury, Farmers…)
    • Knowledge of CCC One estimating software
    • Experience with Mitchell Repair Center Management is a plus, but not required
